The Opportunity
Our client is currently hiring an experienced Executive Assistant to support their CEO with sales administration, pipeline and lead management, appointment scheduling, and CRM tracking. Reporting directly to the CEO, this role will provide critical sales support and manage a range of corporate projects for this fast-growing wealth management and consulting firm.
What YOU get to DO:
- Sales Support: Support the CEO in lead generation, prospecting, and follow-up tasks. Schedule initial sales meetings through email, phone, and SMS, and ensure the CRM system holds accurate and updated client/prospect information.
- Own KPIs: Track and report on KPIs for the Sales team, including meetings, contracts, win/loss rates, and pipeline data.
- Administrative Support: Handle calendar management, scheduling, and correspondence for the CEO, including comprehensive administrative tasks.
- Document Management: Prepare, review, and maintain sales documents, presentations, and reports in line with company standards.
- Client Interaction: Act as a secondary contact for high-net-worth clients, coordinating with the relationship management team to maintain positive client relationships.
- Travel Arrangements: Organize travel itineraries, accommodations, and transportation for the CEO and leadership team.
- Data Analysis: Compile and analyze sales data, generate reports, and identify opportunities for growth.
- Special Projects: Collaborate on special projects and initiatives led by senior management.
What you NEED to SUCCEED:
- Educational Background: Bachelor’s degree in Business Administration, Finance, or a related field is preferred.
- Experience: Minimum of 5 years as an executive assistant, ideally within financial services.
- Sales Process Knowledge: Strong grasp of sales processes and administrative functions.
- Communication Skills: Excellent verbal and written communication abilities.
- Technical Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and MS365 (SharePoint, Planner, Teams). Experience with CRM systems, such as Redtail, is a plus.
- Organizational Prowess: Exceptional organizational skills, accountability, attention to detail, and accuracy.
- Confidentiality: Ability to manage sensitive information discreetly.
- Problem-Solving: Strong independent problem-solving skills.
